
I'm as conceited as thinking that I'm the most organized when it comes to arranging my office stuff (hey who else would want to organize my office but me, right?) until I've discovered that the one person who can outperform me when it comes to organizing my office is the person who's always been beside me - Dude, my boyfriend.![]()
Yesterday, when I finally agreed to make him go through my work stuff, he re-arranged my office in such a way that I've never thought could make me more productive - he filed all my receipts by merchants and months, got rid of my 2006 receipts, re-arranged my desk drawers and who knows what other magical stuff he did to make my office stuff neater, defensively speaking, as it used to be. Ok, I admit, I was too busy organizing my online documents to take time to organize my office further the way Dude did it.
Now that my home office is purged of useless papers and other clutter, I decided to work on a new project - to gradually make my office a lovelier paperless office (not 0% paper but less paper). The reason is aside from wanting to get back my throne as the Organized Office Queen, I'm aware of the various benefits of a paperless office such as:
- More savings because of not having to buy paper, ink cartridge, pen, etc too often.
- Less stress when finding important documents since it can be done in a matter of seconds on your computer.
- Easier online transfer of files.
- Not worrying about losing your documents to (God forbid) fire, theft or simply absent-mindedness.
- An environment-friendly move (paper = trees).
So how to exactly create a paperless home office?
- Compile all my paper documents. As mentioned, I don't wish to completely rid my office of papyrus products, I have no choice but to still keep some of the paper records such as my long to do list for the year, my diplomas and certificates, and other records. The goal is to keep the paper files into a more manageable file.
- Buy the cheapest and yet the best paperless office scanner for scanning documents. I've read from one of the commenters of Productivity501 that Fujitsu Scansnap is a good candidate.
- Scan all of the files that need to be kept.
- Create an online backup and CD copies of all my scanned files. It's going to be exhilarating when you see that all your paper clutter's been digitized. To feel safer, if you don't want an online file storages (Mozy and HyperOffice), burn your files onto CD's.
- Use a paperless office software such as documentlocator or vknowlaware and PDF converter like CutePDF.
- Use online banking for all my bank transactions (I've noticed that it's bank receipts and statement accounts that compose a big chunk of my paper mess)
Can you suggest of better ways or more tips to impress my bf make my dream paperless office come true? I'd appreciate it if you can suggest software applications or other methods.
